Email service options
You may need or want to consider a change in the email service that you are using. How do you decide which service you want to use now? This page offers information about some popular options, including how to migrate to them from ASU Outlook.
You can choose ASU Outlook after retirement only if:
- You retired with emeritus status, or
- You retired before July 1, 2019
Do not use ASU Outlook to write to an elected official.
If you don't intend to use your ASU Outlook service and you are emeritus faculty, you should close your account by calling the Help Center at 855-278-5080. They will verify your identity and then close the account. If you don't do this, people may well continue to send emails to you within ASU Outlook/Exchange, and you will not see them.
If you have been using ASU Gmail while still at ASU, you can continue using it with no change or interruption.
If you are considering moving to ASU Gmail, here are things to consider.
Advantages of ASU Gmail
- You will not have to open an account with a new email service. As an ASU employee and retiree you automatically have an account with ASU Gmail.
- You use your ASURITE credentials to log in to ASU Gmail, and you can access your ASU Gmail from My ASU.
- Your contact interface automatically includes an ASU directory, so you can search for and find a person's ASU email address.
- You can get help from your deskside support in migrating your mail, calendar and contacts from ASU Outlook/Exchange to ASU Gmail BEFORE your last day at ASU. In addition, there is an article in the ASU Service Catalog that provides step-by-step instructions for this process. You can find it by searching on KB0017935. This will bring up an article entitled, "Migrating Retiring Staff From Exchange to Gmail". NOTE: You will need to be logged in to the ASU website with your ASURITE User ID and password to access Service Now.
- You can use ASU's Help Center for assistance with ASU Gmail.
Considerations
- Do not use ASU Gmail for writing to an elected official.
- You can use an app on your phone, tablet or computer to access your Gmail service. You can even use Microsoft Outlook as the app if you wish.
- As is true for any of the choices, you can keep and use your ASU email address, i.e. the one that ends @asu.edu.
- You will not be able to see "free and busy" times on other people's calendars. However, you can still send a meeting request from your calendar to someone's email address, and they can then add it to their calendar. If they are using any Outlook or Gmail service, your request will appear on their calendar as well as in their email.
If you are used to using Outlook at ASU and you would like to continue with a service that has the same familiar interface, you can choose Microsoft Outlook on the Web, also known as Outlook.com.
Advantages of Outlook.com
- Familiar interface for those who have been using Outlook at ASU
- You have complete control of your account and of the features you use. You are not bound by decisions that ASU makes and you don't have to use your ASURITE credentials for login. You do not have to regularly change your password.
Considerations
- You can use an app on your phone, tablet or computer to access your Outlook service. You can even use Gmail as the app if you wish.
- As is true for any of the choices, you can keep and use your ASU email address, i.e. the one that ends @asu.edu. Your direct email address will end in @outlook.com.
- You will not have access to the ASU address list. (the Global Address List). You can, of course, still look up ASU email addresses in the ASU directory.
- You will not be able to see "free and busy" times on other people's calendars. However, you can send a meeting request from your calendar to someone's email address, and they can then add it to their calendar. If they are using any Outlook or Gmail service, your request will appear on their calendar as well as in their email.
- Naturally, the ASU Help Center cannot provide support for non-ASU email services.
Migrating from ASU Outlook
These are the steps you will take to migrate to Outlook.com from your ASU Outlook account. You need to take these steps before you are officially retired if your ASU Outlook account will be closed when you retire.

- Get established on Microsoft.com
- Copy from ASU Outlook to your computer
- Copy from your computer to Outlook.com
- Connect your devices to your Outlook.com account

Gmail is a very popular service with many features and options. If you want to use Gmail but you don't want any restrictions that ASU places on your ASU Gmail account, open your own Gmail account directly at Gmail.com.
Advantages of personal Gmail
- You probably already have a Google account if you have an Android phone or tablet. You can just add Gmail to it without opening another new account.
- Your Google account can be used to access YouTube and other Google products as well as Gmail.
- You have complete control of your account and of the features you use. You are not bound by decisions that ASU makes and you don't have to use your ASURITE credentials for login. You do not have to regularly change your password.

- You can use an app on your phone, tablet or computer to access your Gmail service. You can even use Outlook as the app if you wish. To find other apps you can use with Gmail, search the internet on "Gmail apps for xxx", where XXX is Windows, Android, etc.
- As is true for any of the choices, you can keep and use your ASU email address, i.e. the one that ends @asu.edu. Your direct email address will end in @gmail.com.
- You will not have access to the ASU address list. (the Global Address List). You can, of course, still look up ASU email addresses in the ASU directory.

Migrating from ASU Outlook

- Copy contacts from your computer to Gmail
- Copy calendar from your computer to Gmail
- Copy mail from ASU Outlook to Gmail

Your internet service provider (ISP) may include email accounts with a webmail interface as part of your service. Examples are Cox and CenturyLink.
Advantages of using your ISP's webmail service
- You already have an account with your ISP, so you need only activate the webmail service that comes with it.
- The interface is simple and easy to use via your web browser.
Considerations
- You can use an app on your phone, tablet or computer to access your ISP's service. Most email apps will allow you to connect to an ISP service, and your ISP will likely have instructions on how to do this.
- As is true for any of the choices, you can keep and use your ASU email address, i.e. the one that ends @asu.edu. Your direct email address will use the ISP company's name, e.g. @cox.net or @CentrulyLink.net.
- You will not have access to the ASU address list. (the Global Address List). You can, of course, still look up ASU email addresses in the ASU directory.
- You will not be able to see "free and busy" times on other people's calendars. However, you can send a meeting request from your calendar to someone's email address, and they can then add it to their calendar. If they are using any Outlook or Gmail service, your request will appear on their calendar as well as in their email.
- Naturally, the ASU Help Center cannot provide support for non-ASU email services.
Migrating from ASU Outlook
If you want to save mail and contacts from your ASU Outlook account and you do not have emeritus status, be sure to export them before your retirement date, when your ASU Outlook account will be closed.

Use the import capabilities of your email app or your ISP's webmail interface to import what you saved.
